What is a knowledge base?
A knowledge base is the organized collection of your own content from which an AI system answers: service descriptions, pricing logic, FAQs, processes, technical documentation. It determines the quality of answers more strongly than the model used.
01 — Context
Knowledge base in detail
For a knowledge base to work, it must meet three conditions: be current, be unambiguous, and be divided into digestible sections. Contradictory information in two documents is the most common reason for incorrect answers — not the model, but the source material.
Building it is usually less work than expected, because the material already exists. The effort lies in sorting out: what still applies, what is outdated, where two versions contradict each other.
02 — Practice
What this means for small businesses
Building a knowledge base has a side effect that many businesses find more valuable than the bot itself in hindsight: for the first time, what actually applies is in one place.
03 — Questions
Frequently asked questions
How often does it need to be maintained?
Whenever something significant changes — new service, new prices, new processes. In practice, that's a few times a year plus ongoing additions from real inquiries.
In what format?
That's secondary. Texts, PDFs, tables, and website content can all be processed. What matters is the content, not the file format.
