What is an AI phone assistant?

An AI phone assistant takes calls, understands the inquiry in spoken language, answers simple questions, and transfers or takes callback requests. Unlike a voicemail, it doesn't just document the call but handles it — including classifying how urgent it is.

As of 2026Explained briefly

The process consists of three parts: speech recognition converts what's said into text, a language model categorizes the inquiry based on stored rules, and speech output responds. Quality depends less on recognition than on the rules behind it.

The greatest benefit lies in off-peak hours. A significant portion of calls in small businesses come outside the times when someone can pick up — evenings, while working at a client's site, during lunch.

Context

For businesses where the phone is the dominant channel, this is usually the most effective first step of all. Where inquiries already come in writing, a chatbot delivers more.

Frequently asked questions

Do callers notice they're speaking with a system?

Yes, and it must be that way: since August 2026, the EU AI Act requires that AI identification be recognizable. In practice, callers accept this well as long as the transfer works.

What happens in an emergency?

Urgent cases are identified via defined keywords and immediately transferred or reported to on-call staff via message. This list is agreed upon in advance.
