What is automation in business?
Automation means setting up a recurring process so that it runs without manual intervention — triggered by an event, executed according to fixed rules. Unlike AI, classic automation doesn't make decisions; it executes what was previously defined.
01 — Context
Automation in detail
An automated process always consists of three parts: a trigger (an email arrives, a form is submitted, a date is reached), a sequence of steps, and an outcome. What happens in between is traceable and repeatable.
That's precisely why classic automation is superior where reliability matters: for invoices, reminders, forwarding, data transfers. AI only comes into play when language needs to be understood or unstructured content needs to be categorized.
02 — Practice
What this means for small businesses
Most businesses overestimate how much AI they need and underestimate how much simple automation can help immediately. The first candidate is almost always a process that someone currently carries out manually between two systems.
03 — Questions
Frequently asked questions
Do we need new software for this?
Usually not. Most of it runs on the systems you already have, plus a connecting layer in between.
What if the workflow changes?
Then it gets adjusted. That's why you build the changeable parts — text, recipients, thresholds — so they can be modified without a developer.
