Checklist: preparing for lead qualification

What you should clarify before requesting quotes on lead qualification. The more of this is settled beforehand, the more reliable the quotes will be.

In short

Before deciding on automatic lead qualification, a quick assessment is worthwhile: which process costs the most time, who will maintain the system later, and whether the necessary content even exists. The complete checklist is further down.

01 — Checklist

Clarify before the first quote

  • What should improve? In one sentence, no jargon.
  • How will you know? One number that should change.
  • Who decides? One person, not a committee.
  • What budget is available? A range is enough — it makes quotes comparable instead of arbitrary.
  • By when? And what the deadline depends on.
  • Which systems are involved? And who has access to them.
  • What do you already have? Content, data, preliminary work — this reduces the cost.

02 — Participation

What we need from you

  • A contact person who can make decisions — not just forward them.
  • Access to the affected systems, in time and not on launch day.
  • Real examples from daily business — the messier, the more useful for testing.
  • Two to four hours for coordination, distributed over the project duration.
  • An answer to the question of what success means. Without it, nothing can be assessed afterward.

03 — Questions

Questions you should ask

  • What happens if the project becomes more expensive than estimated — who bears that?
  • Who owns data, access, and, if developed, the source code?
  • What does operation cost in the second and third year?
  • What does the documentation we receive at the end look like?
  • How would you measure whether the project was successful?
  • Is there a case in which you would advise us against this?

Frequently asked questions

What's a realistic scoring approach?

Points for hard criteria you can actually verify: region within your service area, scope within your service range, timeframe feasible. Everything else is guesswork and leads to nobody trusting the scoring.

Does this work in B2C?

Limited. Enrichment with company data drops out, but pre-qualification through good questions and distribution work just the same.

Does this need integration with our CRM?

Useful, but not mandatory. Without CRM integration, scored inquiries land structured in your inbox; with integration, a record with scoring is created directly in the system.

What if our criteria change over time?

The scoring rules are in a table you can adjust yourself without changing any code. A new criterion is one line, not a project.

How long does setting up the scoring logic take?

One to two weeks for the criteria and the form, then a test run on your recent inquiries before anything goes live — misclassifications show up right there.

Won't we filter out good customers with this?

That's why nothing is automatically rejected, only sorted. Every inquiry remains visible, it's just not on the same pile anymore.

Don't more form fields scare people off?

Yes — that's why it's not about more fields, but different ones. Two well-crafted questions bring more clarity than six required fields and cost fewer conversions. Which ones those are, we test on your real inquiries.
