WhatsApp chatbot: comparing providers — what really matters

Quotes for WhatsApp chatbots are hard to compare because everyone includes something different. The questions that reveal the differences — and the warning signs.

In short

When comparing providers for a WhatsApp chatbot, the stated price matters less than the question of what happens afterward: who maintains the system after go-live, and what does a later adjustment cost. That's the difference that only shows up after a few months.

01 — Criteria

How quotes differ

  • What exactly is included. Two quotes with the same total can cover completely different deliverables. Ask for scope as a list, not as running text.
  • Who delivers what. Content, images, data, access — if it's not specified, it becomes a point of conflict later.
  • What operation costs. Calculated over three years, including licenses, hosting, and support.
  • What happens if you want to switch. Do you get access, data, and documentation? The answer to this question says more about a provider than any reference.
  • Who actually does the work. With small providers this matters: who sits in the meeting, and who then does it.

02 — Questions

Questions you should ask

  • What happens if the project becomes more expensive than estimated — who bears that?
  • Who owns data, access, and, if developed, the source code?
  • What does operation cost in the second and third year?
  • What does the documentation we receive at the end look like?
  • How would you measure whether the project was successful?
  • Is there a case in which you would advise us against this?

03 — Warning signs

When to be skeptical

  • Guaranteed results. Anyone promising top Google ranking or a specific revenue increase is selling something they can't deliver.
  • No pushback. A provider who thinks every project is a good idea has either not listened or is only selling.
  • Time pressure. Limited-time discounts on project prices are a sales tool, not an offer.
  • Unclear ownership. Anyone who won't clearly say who owns data and access doesn't have your interests at heart.
  • No contact with technical expertise. If only sales sits in the first meeting, that's where misunderstandings arise.

04 — Scope

What's included

  • Setup of the official WhatsApp Business access including verification
  • Automatic replies to the most common requests, with handoff to a human
  • Shared inbox for the team instead of messages on a personal phone
  • Templates for appointment reminders, order status, and follow-up questions
  • Integration with CRM or order system so conversations belong to the customer
  • Opt-in logic and data protection notices per GDPR

05 — Questions

Frequently asked questions

Can multiple people reply at the same time?

Yes, that's one of the main reasons for switching. The shared inbox shows who's handling which chat and prevents duplicate replies.

Can we receive images and documents?

Yes. Especially in skilled trades, that's the practical part: customers send a photo of the damage, the bot assigns it to the case, and you see immediately what it's about.

Is WhatsApp even GDPR-compliant for business use?

Through the official Business API with a European provider, yes, with a data processing agreement and opt-in. The private WhatsApp app on an employee's phone is the version that causes problems — that's exactly what we replace.

What happens when switching providers?

The phone number remains your property and can be moved to another Business provider. Histories and templates need to be set up again, that's the only effort.

What happens to our existing number?

A number already used in the regular WhatsApp app needs to be migrated — the history is lost in the process. Many businesses therefore get a second number and redirect gradually.

What does WhatsApp cost in ongoing operation?

Meta charges per conversation, tiered by category. For a typical small business, fees are in the low double digits per month. We calculate this for you in advance based on your message volume.

Do we need a dedicated smartphone for it?

No. The Business access runs through the number you specify, and the shared inbox is accessible via browser or app for the entire team — not tied to a single device.
