How does a WhatsApp chatbot work? Explanation without jargon
What actually happens technically when a WhatsApp chatbot is running — explained for decision-makers, not for developers. Including the points where people are still needed.
A WhatsApp chatbot works like this at its core: A request comes in, is checked against stored content and rules, and is either answered directly or passed to a human with full context. The real work is not in the technology, but in defining exactly where that boundary lies.
01 — How it works
How a WhatsApp chatbot works technically
An official business channel with automatic replies, opening-hours logic, and a shared inbox that multiple people can access.
From the outside, here's what happens: A request comes in — through the website, phone, a form, or an existing system. It's captured, checked against the stored rules and content, and either answered directly or handed over to a person with full context. The critical part isn't the technology, but defining where that boundary lies.
WhatsApp messages land on a private phone, are answered in the evening, and are documented nowhere. When someone's on vacation or staff changes, the history is gone. This exact point determines how the system is configured — not a generic product promise.
02 — Components
What the system consists of
- Setup of the official WhatsApp Business access including verification
- Automatic replies to the most common requests, with handoff to a human
- Shared inbox for the team instead of messages on a personal phone
- Templates for appointment reminders, order status, and follow-up questions
- Integration with CRM or order system so conversations belong to the customer
- Opt-in logic and data protection notices per GDPR
03 — Process
The steps in detail
Set up channel
Business account, number verification, display name, and profile. Depending on review, this takes a few days.
Build response tree
The most common inquiries become a dialogue that gets to the goal quickly instead of a menu with eight levels.
Involve team
Who sees what, who responds, how is handoff done. The inbox is set up and explained.
Go-live
Number goes on the website, Google profile, and into the signature. After that, we monitor the first few weeks with you.
04 — Questions
Frequently asked questions
Can we receive images and documents?
Yes. Especially in skilled trades, that's the practical part: customers send a photo of the damage, the bot assigns it to the case, and you see immediately what it's about.
Is WhatsApp even GDPR-compliant for business use?
Through the official Business API with a European provider, yes, with a data processing agreement and opt-in. The private WhatsApp app on an employee's phone is the version that causes problems — that's exactly what we replace.
Can we just message customers?
Only with prior consent and within the templates allowed by Meta. Cold outreach via WhatsApp is neither permitted nor smart. Appointment reminders to existing customers, however, are unproblematic.
What happens when switching providers?
The phone number remains your property and can be moved to another Business provider. Histories and templates need to be set up again, that's the only effort.
What does WhatsApp cost in ongoing operation?
Meta charges per conversation, tiered by category. For a typical small business, fees are in the low double digits per month. We calculate this for you in advance based on your message volume.
What happens to our existing number?
A number already used in the regular WhatsApp app needs to be migrated — the history is lost in the process. Many businesses therefore get a second number and redirect gradually.
Can multiple people reply at the same time?
Yes, that's one of the main reasons for switching. The shared inbox shows who's handling which chat and prevents duplicate replies.
05 — Decision
How to move forward
The most affordable next step is a conversation, not a quote. Twenty minutes is usually enough to clarify whether a project makes sense, what scope it involves, and whether we're the right fit.
If we're not, we'll say so. An honest no costs less than a project you abandon after three months — for both sides.

Let's talk briefly about whether this makes sense for you.
A twenty-minute conversation is usually enough to clarify whether a project makes sense. If not, we'll say so — that's cheaper for both sides than an offer nobody needs.
