What do you need for online appointment scheduling? The prerequisites
Before online appointment scheduling even makes sense, a few things need to be in place in your business. What those are — and which supposed prerequisites actually aren't.
For online appointment booking, a business needs three things: a clearly defined process that currently costs time or jobs, existing content or data to work with, and a person who is authorized to make decisions. Technical knowledge is explicitly not required.
01 — Requirements
What you need for online appointment scheduling
- A clearly defined trigger. Not “we should do something with AI,” but a process that demonstrably costs time or orders today.
- Existing content or data. Online appointment scheduling works with what's already there. The more complete the starting point, the shorter the setup.
- Access to the systems involved. Whoever manages the credentials needs to be involved from the start — this is, in our experience, the most common cause of delays.
- One decision-making contact person. One, not three.
- Willingness to refine after launch. The first weeks in real operation show what was missing in the concept. That's normal and accounted for.
02 — Participation
What we need from you
- A contact person who can make decisions — not just forward them.
- Access to the affected systems, in time and not on launch day.
- Real examples from daily business — the messier, the more useful for testing.
- Two to four hours for coordination, distributed over the project duration.
- An answer to the question of what success means. Without it, nothing can be assessed afterward.
03 — Fit
When it's worth it
- The process in question occurs at least weekly.
- It follows rules you can write down — even if there are exceptions.
- Today it's manual work that no one enjoys doing.
- There's one person who decides, not three who need to coordinate.
- You can name what would tell you it worked.
04 — Questions
Frequently asked questions
Can multiple staff members be booked simultaneously?
Yes, separately per person or resource, with their own calendar and their own availability. Customers either choose a specific person directly or the next available appointment.
Can we block specific times?
Yes, and that's the most important part of the setup. Fixed blocked times, short-notice blocks from the calendar, maximum bookings per day, lead time — all configurable.
Does this work with our industry software?
With common systems in healthcare, beauty, and automotive there's usually an interface. If not, we work with the calendar as an intermediary layer — that almost always works.
What about customers who prefer to call?
They keep calling, and that's fine. Online booking doesn't replace the phone, it takes half the load off — usually the half that comes in outside your office hours.
How do we prevent no-shows?
A reminder 24 hours beforehand plus a short one on the morning of the appointment reduces cancellations noticeably in our experience. For high-value appointments, a deposit or credit card on file also helps.
Can this be combined with an existing waitlist request?
Yes. If a desired appointment is booked, someone can join a waitlist and will be automatically notified as soon as the appointment becomes available.
What happens when you reschedule an appointment?
Those affected are automatically notified and receive a link to rebook — instead of someone calling through the list of affected people by hand.
