How long does online appointment booking take? Realistic timeline

An online appointment booking project is not a weekend job, but not a six-month project either. What happens in which order, where bottlenecks typically occur, and how to shorten the timeline.

In short

Online appointment booking takes 1 to 3 weeks in practice. The biggest time factor is almost never the implementation itself, but how quickly content, access, and decisions come from your side.

The timeline starts after approval of the quote. Lead time for initial meeting and quote: typically one to two weeks. We provide a fixed price after this initial meeting.

02 — Process

The steps in detail

  1. Capturing rules

Which services, which duration, which lead time, who can book when. That's where the real work is.

  2. Setup

Booking flow, calendar integration, confirmation and reminder texts.

  3. Testing

We book through ourselves, with all edge cases — holidays, vacation, double bookings.

  4. Go-live

Linking on website, Google profile and in email signature.

03 — Bottlenecks

What typically causes delays

  • Content and deliveries. By far the most common cause of delay. Text, images, price lists, access credentials — what's missing blocks progress.
  • Decisions. When it's unclear who approves, the project waits. A named contact person with decision-making authority noticeably shortens the timeline.
  • Access to third-party systems. Getting access to inventory management, phone systems, or CRM regularly takes longer than the integration itself.
  • Endless review rounds. Two correction rounds are normal, five are a sign that the goal wasn't clear at the start.

04 — Scope

What's included

  • Booking flow in your website's design, not as a foreign window
  • Availability from your real calendar, with buffer and block times
  • Different appointment durations per service
  • Reminders via email and SMS to reduce no-shows
  • Cancellation and rescheduling logic without a phone call
  • Integration with your existing calendar or industry software

05 — Questions

Frequently asked questions

How do we prevent no-shows?

A reminder 24 hours beforehand plus a short one on the morning of the appointment reduces cancellations noticeably in our experience. For high-value appointments, a deposit or credit card on file also helps.

What about customers who prefer to call?

They keep calling, and that's fine. Online booking doesn't replace the phone, it takes half the load off — usually the half that comes in outside your office hours.

Does this work with our industry software?

With common systems in healthcare, beauty, and automotive there's usually an interface. If not, we work with the calendar as an intermediary layer — that almost always works.

What happens when you reschedule an appointment?

Those affected are automatically notified and receive a link to rebook — instead of someone calling through the list of affected people by hand.

Can multiple staff members be booked simultaneously?

Yes, separately per person or resource, with their own calendar and their own availability. Customers either choose a specific person directly or the next available appointment.

Is this GDPR-compliant?

With a European provider, data processing agreement, and deletion periods, yes. We set that up accordingly and provide the text module for the privacy policy.

Can this be combined with an existing waitlist request?

Yes. If a desired appointment is booked, someone can join a waitlist and will be automatically notified as soon as the appointment becomes available.
