Implement online appointment booking: step by step
The path from decision to live operation — in the order that has proven effective in small businesses, including the points where projects typically get stuck.
Online appointment booking is implemented by first identifying the bottleneck, then defining a small scope, and only then moving to implementation. The implementation itself takes 1 to 3 weeks; a project is almost never delayed by technology, but by missing content, access, and decisions.
01 — Getting started
Where to begin
Name the bottleneck
Not the most interesting thing, but what takes the most time. A week of tracking what repeats delivers a more realistic list than any workshop.
Define a small scope
One process, one measurable goal. What works gets expanded — what doesn't costs little.
Survey the starting situation
Which content, data, and access are available. For online appointment booking, this is the factor that most strongly influences effort and duration.
Decide who is responsible
For the implementation and for operations afterward. Without this definition, every system becomes outdated.
Only then request proposals
With a clear scope, proposals become comparable. Without it, you get numbers that have nothing to do with each other.
02 — Process
The steps in detail
Capturing rules
Which services, which duration, which lead time, who can book when. That's where the real work is.
Setup
Booking flow, calendar integration, confirmation and reminder texts.
Testing
We book through ourselves, with all edge cases — holidays, vacation, double bookings.
Go-live
Linking on website, Google profile and in email signature.

What we need from you
- A contact person who can make decisions — not just forward them.
- Access to the affected systems, in time and not on launch day.
- Real examples from daily business — the messier, the more useful for testing.
- Two to four hours for coordination, distributed over the project duration.
- An answer to the question of what success means. Without it, nothing can be assessed afterward.
04 — Bottlenecks
What typically causes delays
- Content and deliveries. By far the most common cause of delay. Text, images, price lists, access credentials — what's missing blocks progress.
- Decisions. When it's unclear who approves, the project waits. A named contact person with decision-making authority noticeably shortens the timeline.
- Access to third-party systems. Getting access to inventory management, phone systems, or CRM regularly takes longer than the integration itself.
- Endless review rounds. Two correction rounds are normal, five are a sign that the goal wasn't clear at the start.
05 — Questions
Frequently asked questions
How do we prevent no-shows?
A reminder 24 hours beforehand plus a short one on the morning of the appointment reduces cancellations noticeably in our experience. For high-value appointments, a deposit or credit card on file also helps.
What about customers who prefer to call?
They keep calling, and that's fine. Online booking doesn't replace the phone, it takes half the load off — usually the half that comes in outside your office hours.
Does this work with our industry software?
With common systems in healthcare, beauty, and automotive there's usually an interface. If not, we work with the calendar as an intermediary layer — that almost always works.
Can we block specific times?
Yes, and that's the most important part of the setup. Fixed blocked times, short-notice blocks from the calendar, maximum bookings per day, lead time — all configurable.
Can multiple staff members be booked simultaneously?
Yes, separately per person or resource, with their own calendar and their own availability. Customers either choose a specific person directly or the next available appointment.
Is this GDPR-compliant?
With a European provider, data processing agreement, and deletion periods, yes. We set that up accordingly and provide the text module for the privacy policy.
Can this be combined with an existing waitlist request?
Yes. If a desired appointment is booked, someone can join a waitlist and will be automatically notified as soon as the appointment becomes available.
