What do you need for support automation? Prerequisites
Before support automation even makes sense, a few things need to be in place in your business. Which ones those are — and which supposed prerequisites actually aren't.
For support automation, a business needs three things: a specifically named process that currently costs time or orders, existing content or data to work with, and a person who is authorized to make decisions. Technical prior knowledge is explicitly not required.
01 — Requirements
What you need for support automation
- A clearly defined trigger. Not “we should do something with AI,” but a process that demonstrably costs time or orders today.
- Existing content or data. Customer support automation works with what's there. The more complete the starting point, the shorter the setup.
- Access to the systems involved. Whoever manages the credentials needs to be involved from the start — this is, in our experience, the most common cause of delays.
- One decision-making contact person. One, not three.
- Willingness to refine after launch. The first weeks in real operation show what was missing in the concept. That's normal and accounted for.
02 — Participation
What we need from you
- A contact person who can make decisions — not just forward them.
- Access to the affected systems, in time and not on launch day.
- Real examples from daily business — the messier, the more useful for testing.
- Two to four hours for coordination, distributed over the project duration.
- An answer to the question of what success means. Without it, nothing can be assessed afterward.
03 — Fit
When it's worth it
- The process in question occurs at least weekly.
- It follows rules you can write down — even if there are exceptions.
- Today it's manual work that no one enjoys doing.
- There's one person who decides, not three who need to coordinate.
- You can name what would tell you it worked.
04 — Questions
Frequently asked questions
What happens with complaints?
They are recognized and prioritized, never answered automatically. One poorly handled complaint costs more than ten saved minutes are worth.
What about inquiries in multiple languages?
Classification works regardless of language. Draft responses are generated in the language of the inquiry, provided you support that language — otherwise it's forwarded with a language marker.
How long does it take for the sorting to be accurate?
Basic sorting works after the first few days. The fine points — special cases, your internal terminology — need about four weeks of real operation.
How do we handle very specific technical inquiries?
They are recognized but not answered automatically — only assigned and forwarded to the right person with context. Automation handles the sorting, not the specialist answer.
Do customers then only get automated responses?
No, and that would also be the wrong goal. The biggest benefit lies in sorting and preparing responses. Only what is unambiguous gets answered fully automatically — opening hours, status inquiries, form requests.
How much does this actually save?
That depends on volume. With fifty inquiries a day, typically a good hour is spent just on sorting and assignment. That hour is almost completely eliminated, plus the time saved on drafts.
Can this be introduced for just one area?
Yes, that's actually the typical starting point — for example only for invoice inquiries or only for one product line. After the first few weeks it becomes clear whether expansion makes sense.
