AI phone assistant 2026: what has changed
What's different about AI phone assistants in 2026 compared to two years ago — legally, technically and regarding what actually pays off for small businesses.
Two things changed for AI phone assistants in 2026: The transparency obligations of the EU AI Act have been in effect since August, and search engines answer more and more questions directly in the results. Technically, reliability has improved most of all — which doesn't mean every project makes sense.
01 — Current
What changed recently
Two developments shape the decision in 2026: First, the transparency requirements of the EU AI Act have been in effect since August — anyone communicating with an AI system must be able to recognize it. Second, search itself now answers more and more questions directly, which changes the value of having your own easily findable information source.
For AI phone assistants, this means in practice: disclosure is mandatory and not a stylistic choice, and the content the system works with is the same content that's cited in search results and generated answers. When you prepare it properly once, you use it twice.
Technically, reliability has improved most of all. What was still an experiment two years ago is today a plannable implementation in many cases — which doesn't mean every project makes sense.
02 — Legal situation
EU AI Act: what applies
Since August 2026, the transparency requirements from Article 50 of the EU AI Act apply: Anyone communicating directly with an AI system must be able to recognize it. We build in the labeling as standard.
The AI Act doesn't distinguish by company size: A sole proprietorship with an AI system in customer contact is affected just as much as a corporation. What matters is purpose and risk, not headcount.
There's also the obligation to ensure adequate AI competence for the people working with it. That's not an examination requirement, but it should be documented — a training session with a participant list is the simplest proof.
03 — Benefits
What it actually delivers
- Time that's needed elsewhere. In businesses that are on the construction site, in the treatment room or in the workshop during the day, a significant portion of calls go unanswered. When people can't get through, they call the next business.
- Consistent quality. A system doesn't have a bad day and doesn't skip a step — regardless of who's currently in the office.
- Traceability. What runs automatically is documented. That helps with handovers, vacation coverage, and in case of disputes.
- Availability outside business hours. A significant portion of inquiries arise in the evening and on weekends — where until now no one was responding.
- A side effect hardly anyone plans for: During setup, it regularly becomes apparent that processes in the business are unclear. Clarifying that is often more valuable than the automation itself.
04 — Questions
Frequently asked questions
Does the assistant understand dialect?
Austrian standard German and moderate dialect reliably, heavy dialect not always. That's why we build in follow-up questions: when unclear, the assistant asks rather than guessing. Critical information like phone numbers is repeated for confirmation.
What does a missed call actually cost us?
You can calculate it: average order value times closing rate times missed calls. For trades businesses with an average order value of 800 euros, one additional job won per month is enough to cover the costs.
Do callers notice they're speaking with an AI?
Yes, and that's how it should be. The assistant says at the beginning that it's a digital assistant — the EU AI Act has required this since August 2026 and it prevents trouble. In practice, hardly anyone minds as long as their request is handled.
Can it run only in the evenings and on weekends?
Yes. Many businesses activate the assistant only outside office hours and when the line is busy. That's the most affordable option and still covers the majority of lost calls.
Do we need a new phone system?
No. In most cases, call forwarding on no answer is sufficient. If you have a cloud phone system, it's even more direct.
Can it enter appointments in our calendar?
Yes, in Google Calendar, Microsoft 365 and common industry calendars. You set available slots, buffer times and blocked times, the assistant only books within these rules.
What happens in an emergency?
You define keywords — for an installation business, for example, “water damage” or “no hot water”. When these come up, the call is immediately transferred or a number is called, instead of writing a log.

Let's talk briefly about whether this makes sense for you.
A twenty-minute conversation is usually enough to clarify whether a project makes sense. If not, we'll say so — that's cheaper for both sides than an offer nobody needs.
