In short

An AI phone assistant works like this at its core: A request comes in, is checked against stored content and rules, and is either answered directly or handed over to a person with full context. The real work is not in the technology, but in defining exactly where that boundary lies.

01 — How it works

How an AI phone assistant works technically

Every call is answered. Standard requests are handled, everything else lands as a clean record in your inbox — with callback number and request.

From the outside, here's what happens: A request comes in — through the website, phone, a form, or an existing system. It's captured, checked against the stored rules and content, and either answered directly or handed over to a person with full context. The critical part isn't the technology, but defining where that boundary lies.

In businesses that are on-site during the day, in the treatment room, or in the workshop, a significant portion of calls go unanswered. Those who don't get through call the next one. This exact point determines how the system is configured — not a general product promise.

02 — Components

What the system consists of

  • Conversation guide for your most common requests, developed together
  • Appointment scheduling directly in your calendar, including buffer times and blocked times
  • Transfer to a real person for urgent matters or clear keywords
  • Log of every conversation via email, with recording and transcript on request
  • Own phone number or activation on your existing number on no answer
  • Announcement text and voice tailored to your business, with dialect coloring on request

03 — Process

The steps in detail

  1. Categorize calls

We review a week of your calls: what are people actually asking? This creates the guide.

  2. Build conversation flow

Greeting, follow-up questions, appointment logic, emergency keywords. Everything is defined before a line of configuration is written.

  3. Trial operation on secondary number

The assistant first runs in parallel on a second number. You listen in and make corrections.

  4. Activation

Only when the conversations work does it switch to the main number — usually with a delay so you can answer first.

04 — Questions

Frequently asked questions

Do callers notice they're speaking with an AI?

Yes, and that's how it should be. The assistant says at the beginning that it's a digital assistant — the EU AI Act has required this since August 2026 and it prevents trouble. In practice, hardly anyone minds as long as their request is handled.

Do we need a new phone system?

No. In most cases, call forwarding on no answer is sufficient. If you have a cloud phone system, it's even more direct.

Does the assistant understand dialect?

Austrian standard German and moderate dialect reliably, heavy dialect not always. That's why we build in follow-up questions: when unclear, the assistant asks rather than guessing. Critical information like phone numbers is repeated for confirmation.

What happens in an emergency?

You define keywords — for an installation business, for example, “water damage” or “no hot water”. When these come up, the call is immediately transferred or a number is called, instead of writing a log.

What does a missed call actually cost us?

You can calculate it: average order value times closing rate times missed calls. For trades businesses with an average order value of 800 euros, one additional job won per month is enough to cover the costs.

Can it enter appointments in our calendar?

Yes, in Google Calendar, Microsoft 365 and common industry calendars. You set available slots, buffer times and blocked times, the assistant only books within these rules.

How long until it's good?

After the trial phase, standard cases are handled. The fine points — rare requests, unusual phrasings — are added in the first four to six weeks.

05 — Decision

How to move forward

The most affordable next step is a conversation, not a quote. Twenty minutes is usually enough to clarify whether a project makes sense, what scope it involves, and whether we're the right fit.

If we're not, we'll say so. An honest no costs less than a project you abandon after three months — for both sides.
