Implementing a WhatsApp chatbot: step by step

The path from decision to live operation — in the order that has proven effective in small businesses, including the points where projects typically get stuck.

In short

A WhatsApp chatbot is implemented by first naming the bottleneck, then defining it narrowly, and only then executing. The implementation itself takes 2 to 3 weeks; a project is almost never delayed by technology, but by missing content, access credentials, and decisions.

01 — Getting started

Where to begin

  1. Name the bottleneck

Not the most interesting thing, but what takes the most time. A week of tracking what repeats delivers a more realistic list than any workshop.

  2. Define a small scope

One process, one measurable goal. What works gets expanded — what doesn't costs little.

  3. Survey the starting situation

What content, data, and access is available. For WhatsApp chatbots, this is the factor that most strongly influences effort and timeline.

  4. Decide who is responsible

For the implementation and for operations afterward. Without this definition, every system becomes outdated.

  5. Only then request proposals

With a clear scope, proposals become comparable. Without it, you get numbers that have nothing to do with each other.

02 — Process

The steps in detail

  1. Set up channel

Business account, number verification, display name, and profile. Depending on review, this takes a few days.

  2. Build response tree

The most common inquiries become a dialogue that gets to the goal quickly instead of a menu with eight levels.

  3. Involve team

Who sees what, who responds, how is handoff done. The inbox is set up and explained.

  4. Go-live

Number goes on the website, Google profile, and into the signature. After that, we monitor the first few weeks with you.

03 — Participation

What we need from you

  • A contact person who can make decisions — not just forward them.
  • Access to the affected systems, in time and not on launch day.
  • Real examples from daily business — the messier, the more useful for testing.
  • Two to four hours for coordination, distributed over the project duration.
  • An answer to the question of what success means. Without it, nothing can be assessed afterward.

04 — Bottlenecks

What typically causes delays

  • Content and deliveries. By far the most common cause of delay. Text, images, price lists, access credentials — what's missing blocks progress.
  • Decisions. When it's unclear who approves, the project waits. A named contact person with decision-making authority noticeably shortens the timeline.
  • Access to third-party systems. Getting access to inventory management, phone systems, or CRM regularly takes longer than the integration itself.
  • Endless review rounds. Two correction rounds are normal, five are a sign that the goal wasn't clear at the start.

05 — Questions

Frequently asked questions

Is WhatsApp even GDPR-compliant for business use?

Through the official Business API with a European provider, yes, with a data processing agreement and opt-in. The private WhatsApp app on an employee's phone is the version that causes problems — that's exactly what we replace.

What does WhatsApp cost in ongoing operation?

Meta charges per conversation, tiered by category. For a typical small business, fees are in the low double digits per month. We calculate this for you in advance based on your message volume.

Can multiple people reply at the same time?

Yes, that's one of the main reasons for switching. The shared inbox shows who's handling which chat and prevents duplicate replies.

Can we just message customers?

Only with prior consent and within the templates allowed by Meta. Cold outreach via WhatsApp is neither permitted nor smart. Appointment reminders to existing customers, however, are unproblematic.

What happens to our existing number?

A number already used in the regular WhatsApp app needs to be migrated — the history is lost in the process. Many businesses therefore get a second number and redirect gradually.

Do we need a dedicated smartphone for it?

No. The Business access runs through the number you specify, and the shared inbox is accessible via browser or app for the entire team — not tied to a single device.

Can we receive images and documents?

Yes. Especially in skilled trades, that's the practical part: customers send a photo of the damage, the bot assigns it to the case, and you see immediately what it's about.
