WhatsApp chatbot: examples from practice

How a WhatsApp chatbot is actually used in the daily operations of small businesses — concrete processes instead of product promises, including cases where it didn't work.

In short

In practice, a WhatsApp chatbot almost always starts with exactly one process, not with an overall concept. Messages via WhatsApp are typically read within minutes — significantly faster than emails. Expansion only happens once the first step demonstrably works in real operation.

01 — Practice

What this looks like in concrete terms

Observation from practice

Messages via WhatsApp are typically read within minutes — significantly faster than emails.

A typical entry point looks like this: the business names the one process that causes the most trouble. Business account, number verification, display name, and profile. Depending on the review, that takes a few days.

After go-live, you don't expand immediately — you observe. The number goes on the website, Google profile, and in the signature. After that, we monitor the first few weeks together.

02 — Fit

When it's worth it

  • The process in question occurs at least weekly.
  • It follows rules you can write down — even if there are exceptions.
  • Today it's manual work that no one enjoys doing.
  • There's one person who decides, not three who need to coordinate.
  • You can name what would tell you it worked.

03 — Scope

When we advise against it

  • The process is still changing. As long as you're adjusting the process itself, manual work is more flexible and cheaper.
  • Exceptions outweigh standard cases. Then you're automating exceptions, and that gets expensive.
  • There's no data foundation. Without digitally available source data, the basis is missing.
  • Volume is too low. With five transactions a month, no system pays off — not even an affordable one.
  • The real bottleneck lies elsewhere. If you don't have enough inquiries, you don't need faster processing.

Frequently asked questions

What happens to our existing number?

A number already used in the regular WhatsApp app needs to be migrated — the history is lost in the process. Many businesses therefore get a second number and redirect gradually.

Can we just message customers?

Only with prior consent and within the templates allowed by Meta. Cold outreach via WhatsApp is neither permitted nor smart. Appointment reminders to existing customers, however, are unproblematic.

Is WhatsApp even GDPR-compliant for business use?

Through the official Business API with a European provider, yes, with a data processing agreement and opt-in. The private WhatsApp app on an employee's phone is the version that causes problems — that's exactly what we replace.

What happens when switching providers?

The phone number remains your property and can be moved to another Business provider. Histories and templates need to be set up again, that's the only effort.

What does WhatsApp cost in ongoing operation?

Meta charges per conversation, tiered by category. For a typical small business, fees are in the low double digits per month. We calculate this for you in advance based on your message volume.

How quickly do we need to respond to messages?

There's no Meta requirement, but customer expectations on WhatsApp are minutes, not hours. The automatic replies handle exactly this expectation until someone takes over personally.

Can we receive images and documents?

Yes. Especially in skilled trades, that's the practical part: customers send a photo of the damage, the bot assigns it to the case, and you see immediately what it's about.

Next step

Let's talk briefly about whether this makes sense for you.

A twenty-minute conversation is usually enough to clarify whether a project makes sense. If not, we'll say so — that's cheaper for both sides than an offer nobody needs.
