AI Chatbot: Pros and Cons honestly weighed
What an AI chatbot really delivers and what speaks against it — both in equal detail, because a list with only advantages doesn't help anyone make a decision.
The greatest benefit of an AI chatbot lies in reclaimed time and consistent quality, even outside business hours. On the other hand: it creates maintenance overhead, setup requires attention, and where exceptions are the rule, manual work remains cheaper.
01 — Benefits
What it actually delivers
- Time that's needed elsewhere. Most inquiries that come in via form or phone are repeats: opening hours, price range, delivery area, availability, “do you even do that”. Each one costs someone five to ten minutes.
- Consistent quality. A system doesn't have a bad day and doesn't skip a step — regardless of who's currently in the office.
- Traceability. What runs automatically is documented. That helps with handovers, vacation coverage, and in case of disputes.
- Availability outside business hours. A significant portion of inquiries arise in the evening and on weekends — where until now no one was responding.
- A side effect hardly anyone plans for: During setup, it regularly becomes apparent that processes in the business are unclear. Clarifying that is often more valuable than the automation itself.
02 — Limitations
What speaks against it
- Maintenance work is created. No system runs permanently without any supervision. If you don't plan for that, you'll have an outdated system after a year.
- The start requires attention. Setting up an AI chatbot needs you — not much, but reliably. If you're in the middle of peak season, you should postpone.
- Not every process is suitable. Where exceptions are the rule, automation becomes more expensive than manual work.
- Dependency, if you set it up wrong. Without access, documentation, and data export, you're locked in. That needs to be clarified contractually, not hoped for.
- Expectations. A system doesn't replace positioning or good service — it removes work, it doesn't create demand.
03 — Scope
When we advise against it
- The process is still changing. As long as you're adjusting the process itself, manual work is more flexible and cheaper.
- Exceptions outweigh standard cases. Then you're automating exceptions, and that gets expensive.
- There's no data foundation. Without digitally available source data, the basis is missing.
- Volume is too low. With five transactions a month, no system pays off — not even an affordable one.
- The real bottleneck lies elsewhere. If you don't have enough inquiries, you don't need faster processing.
04 — Questions
Frequently asked questions
Can we turn the bot off again?
Anytime, with one click. The snippet remains, the bot is gone. There's no minimum term that binds you.
How much work does this create for us?
At the start, about two to three hours for gathering content and one alignment round. After that, nothing regular — unless you want to add new topics, which works through a simple document.
Doesn't an AI chatbot just make up answers?
A free-running language model does. That's why we build the bot so it only answers from a verified knowledge base and provides the source. If it finds nothing, it says so and redirects — that's the most important part of the configuration.
Does this even pay off for us?
The calculation is simple: requests per week times processing time times hourly rate. With twenty repeat questions per week and seven minutes each, that's a good two hours of work — every week. We calculate this with your real numbers before the quote.
What if the bot answers a question incorrectly?
You see every conversation. Incorrect answers are refined by making the knowledge base more precise. This happens a few times in the first weeks, then rarely after that.
What happens to our customers' data?
The conversations run through servers in the EU, no training is done with your data, and we write the appropriate section for your privacy policy. On request, chat logs are automatically deleted after a set period.
Do we have to label the chatbot as AI?
Yes. Since August 2026, the transparency requirements of Article 50 of the EU AI Act apply: Anyone communicating directly with an AI system must be able to recognize it. We build the labeling in as standard, it costs nothing extra.
05 — Decision
How to move forward
The most affordable next step is a conversation, not a quote. Twenty minutes is usually enough to clarify whether a project makes sense, what scope it involves, and whether we're the right fit.
If we're not, we'll say so. An honest no costs less than a project you abandon after three months — for both sides.
