Set up Google Business Profile: step by step
The path from decision to live operation — in the order that has proven effective in small businesses, including the points where projects typically get stuck.
Google Business Profile is set up by first identifying the bottleneck, then defining a small scope, and only then implementing. The implementation itself takes 1 to 2 weeks; a project is almost never delayed by technology, but by missing content, access, and decisions.
01 — Getting started
Where to begin
Name the bottleneck
Not the most interesting thing, but what takes the most time. A week of tracking what repeats delivers a more realistic list than any workshop.
Define a small scope
One process, one measurable goal. What works gets expanded — what doesn't costs little.
Survey the starting situation
Which content, data, and access is available. For Google Business Profile, this is the factor that most strongly influences effort and timeline.
Decide who is responsible
For the implementation and for operations afterward. Without this definition, every system becomes outdated.
Only then request proposals
With a clear scope, proposals become comparable. Without it, you get numbers that have nothing to do with each other.
02 — Process
The steps in detail
Access and review
Clarify ownership, review existing profile, find duplicates.
Complete
Fill in all fields. Completeness matters more than polish here.
Test categories
The main category has the biggest impact and is tested against competitors.
Maintenance routine
A simple process to keep the profile active.
03 — Participation
What we need from you
- A contact person who can make decisions — not just forward them.
- Access to the affected systems, in time and not on launch day.
- Real examples from daily business — the messier, the more useful for testing.
- Two to four hours for coordination, distributed over the project duration.
- An answer to the question of what success means. Without it, nothing can be assessed afterward.
04 — Bottlenecks
What typically causes delays
- Content and deliveries. By far the most common cause of delay. Text, images, price lists, access credentials — what's missing blocks progress.
- Decisions. When it's unclear who approves, the project waits. A named contact person with decision-making authority noticeably shortens the timeline.
- Access to third-party systems. Getting access to inventory management, phone systems, or CRM regularly takes longer than the integration itself.
- Endless review rounds. Two correction rounds are normal, five are a sign that the goal wasn't clear at the start.
05 — Questions
Frequently asked questions
What if someone has created a fake profile for our business?
That happens, usually through automated entries from old directories. Ownership can be claimed, and duplicate entries are merged or reported.
What about false or fake reviews?
They can be reported, with varying success. For clear policy violations — insults, mistaken identity, competitors — it often works. For merely unfair criticism, rarely.
Who is allowed to manage the profile?
Multiple people can be registered as owners or managers, with different permissions. That makes sense so maintenance doesn't depend on a single person with a single login.
Is a video in the profile worthwhile?
As a supplement yes, as a replacement for photos no. A short tour or workshop view builds trust, but doesn't replace the complete, current still images that most viewers see first.
How do we get more reviews?
Ask at the right time: immediately after completing the service, with a short link, without offering anything in return. Bought reviews violate the guidelines and can be detected.
What is the most important setting in the profile?
The primary category. It determines which search queries you're even eligible for. A business listed as “construction company” instead of “plumber” appears for the wrong search — or for none at all.
Do posts in the profile achieve anything?
Little direct ranking effect, but they fill the space in the profile and show activity. For businesses with promotions or events they're worthwhile, for others hardly.
