Automate quote generation: compare providers — what really matters

Quotes on automated quote generation are hard to compare because everyone writes something different. The questions that make differences visible — and the warning signs.

In short

When comparing providers for automated quote generation, what matters less is the stated price than the question of what happens afterward: who supports the system after go-live, and what does a later adjustment cost. That's the difference that only shows after a few months.

01 — Criteria

How quotes differ

  • What exactly is included. Two quotes with the same total can cover completely different deliverables. Ask for scope as a list, not as running text.
  • Who delivers what. Content, images, data, access — if it's not specified, it becomes a point of conflict later.
  • What operation costs. Calculated over three years, including licenses, hosting, and support.
  • What happens if you want to switch. Do you get access, data, and documentation? The answer to this question says more about a provider than any reference.
  • Who actually does the work. With small providers this matters: who sits in the meeting, and who then does it.

02 — Questions

Questions you should ask

  • What happens if the project becomes more expensive than estimated — who bears that?
  • Who owns data, access, and, if developed, the source code?
  • What does operation cost in the second and third year?
  • What does the documentation we receive at the end look like?
  • How would you measure whether the project was successful?
  • Is there a case in which you would advise us against this?

03 — Warning signs

When to be skeptical

  • Guaranteed results. Anyone promising top Google ranking or a specific revenue increase is selling something they can't deliver.
  • No pushback. A provider who thinks every project is a good idea has either not listened or is only selling.
  • Time pressure. Limited-time discounts on project prices are a sales tool, not an offer.
  • Unclear ownership. Anyone who won't clearly say who owns data and access doesn't have your interests at heart.
  • No contact with technical expertise. If only sales sits in the first meeting, that's where misunderstandings arise.

04 — Scope

What's included

  • Text modules and line items as a maintained library instead of copy-paste
  • Prices from a central source so changes apply everywhere
  • Automatic compilation from the inquiry details
  • Approval step before anything goes out
  • Automatic follow-up for proposals without response
  • Analysis: which proposals get accepted, which don't

05 — Questions

Frequently asked questions

Does this work for quote-intensive calculations?

For rule-based calculations, yes. Where each item needs individual estimation, automation helps with structure and math, not estimation.

Does this work if we offer multiple languages?

Yes, text modules can be stored per language. The system automatically selects the right language based on the customer.

What does the follow-up do?

More than most expect. A significant number of quotes simply go unanswered. An automatic reminder after seven and fourteen days recovers some of them without anyone having to remember.

How fast is “fast”?

In the projects we've built, going from several hours to under thirty minutes is the norm — most of that time goes to review, not creation.

Who can change prices in the library?

You decide — usually one or two authorized people, so incorrect prices don't accidentally slip into a quote. Changes then apply immediately to all future quotes.

Doesn't that lose the personal touch?

The personal part stays — it's just not retyped every time. Building blocks handle the standard sections, you write the paragraph that actually speaks to the specific case. Usually the personal part gets better because you have time for it.

Can we use different templates for different customer groups?

Yes, such as different terms for new customers, existing customers, or resellers. The right template is automatically preselected based on the request.
