AI phone assistant: comparing providers — what really matters
Quotes for AI phone assistants are hard to compare because everyone includes something different. The questions that reveal real differences — and the warning signs.
When comparing providers for AI phone assistants, the stated price matters less than the question of what happens afterward: who supports the system after go-live, and what does a later adjustment cost. That's the difference that only becomes apparent after a few months.
01 — Criteria
How quotes differ
- What exactly is included. Two quotes with the same total can cover completely different deliverables. Ask for scope as a list, not as running text.
- Who delivers what. Content, images, data, access — if it's not specified, it becomes a point of conflict later.
- What operation costs. Calculated over three years, including licenses, hosting, and support.
- What happens if you want to switch. Do you get access, data, and documentation? The answer to this question says more about a provider than any reference.
- Who actually does the work. With small providers this matters: who sits in the meeting, and who then does it.
02 — Questions
Questions you should ask
- What happens if the project becomes more expensive than estimated — who bears that?
- Who owns data, access, and, if developed, the source code?
- What does operation cost in the second and third year?
- What does the documentation we receive at the end look like?
- How would you measure whether the project was successful?
- Is there a case in which you would advise us against this?
03 — Warning signs
When to be skeptical
- Guaranteed results. Anyone promising top Google ranking or a specific revenue increase is selling something they can't deliver.
- No pushback. A provider who thinks every project is a good idea has either not listened or is only selling.
- Time pressure. Limited-time discounts on project prices are a sales tool, not an offer.
- Unclear ownership. Anyone who won't clearly say who owns data and access doesn't have your interests at heart.
- No contact with technical expertise. If only sales sits in the first meeting, that's where misunderstandings arise.
04 — Scope
What's included
- Conversation guide for your most common requests, developed together
- Appointment scheduling directly in your calendar, including buffer times and blocked times
- Transfer to a real person for urgent matters or clear keywords
- Log of every conversation via email, with recording and transcript on request
- Own phone number or activation on your existing number on no answer
- Announcement text and voice tailored to your business, with dialect coloring on request
05 — Questions
Frequently asked questions
How long until it's good?
After the trial phase, standard cases are handled. The fine points — rare requests, unusual phrasings — are added in the first four to six weeks.
Does the assistant understand dialect?
Austrian standard German and moderate dialect reliably, heavy dialect not always. That's why we build in follow-up questions: when unclear, the assistant asks rather than guessing. Critical information like phone numbers is repeated for confirmation.
Do we need a new phone system?
No. In most cases, call forwarding on no answer is sufficient. If you have a cloud phone system, it's even more direct.
Can it run only in the evenings and on weekends?
Yes. Many businesses activate the assistant only outside office hours and when the line is busy. That's the most affordable option and still covers the majority of lost calls.
What happens in an emergency?
You define keywords — for an installation business, for example, “water damage” or “no hot water”. When these come up, the call is immediately transferred or a number is called, instead of writing a log.
Do callers notice they're speaking with an AI?
Yes, and that's how it should be. The assistant says at the beginning that it's a digital assistant — the EU AI Act has required this since August 2026 and it prevents trouble. In practice, hardly anyone minds as long as their request is handled.
Can it enter appointments in our calendar?
Yes, in Google Calendar, Microsoft 365 and common industry calendars. You set available slots, buffer times and blocked times, the assistant only books within these rules.
